WSR templates or company reports?
The WSR templates are the required templates to provide all of the information needed to inform the works for the Overseeing Organisations, see also GP 110. Company reports replacing the WSR templates are not allowed; this includes changes to the numbering system which is aligned with the associated SHW document. Using different templates / reports would undermine a key driver for introducing the WSR templates, that is to support consistency and better quality in specification outputs. However, introducing cover pages for version control and other content relevant for quality management is allowed, see quality management.
Clarity
Ensure all cells in the WSR templates display correctly, are readable and can be printed into the required format. When dealing with large landscape tables (see Figure 1), it may be appropriate to transpose them to a portrait view (e.g using TRANSPOSE function in Excel, see Figure 2).
Completeness
Ensure that all mandatory and discipline-specific WSRs have been completed, see Mandatory and Document-specific WSRs.
Data protection
Protect each WSR template file with a password once complete to ensure content cannot be modified.
Packaging
Compile all completed WSR templates into a single package (for example .zip file) for dissemination of the contract-specific specification. The WSR templates do not change existing practice of packaging information based on the needs of a particular project. For example, you may have a single document or different documents for different disciplines.
Quality management
Apply version control to all completed WSR template files and compiled packages in line with the quality management system agreed to be used for the contract under consideration. There is no built-in functionality for checking and approval on the WSR templates: this is left to the supply chain according their own quality management systems.
